This policy explains how cancellation, auto-renewal, and refunds work for paid Clearbase Software ("Clearbase") Services. It forms part of our Terms of Service.
You can cancel a subscription at any time from your account's Plan & billing area. When you cancel, auto-renewal is turned off and you keep full access until the end of your current paid billing period. At the end of that period the subscription ends and no further charge is made.
For example, on a monthly plan, if you cancel partway through a month you have already paid for, you keep access until the end of that month, then the subscription ends. On an annual plan, you keep access through the end of your paid year.
For your convenience, subscriptions renew automatically at the end of each billing period at the then-current price, unless you cancel before the renewal date. Your renewal or end date, and your auto-renewal status, are always visible in your account's Plan & billing area.
Refund terms depend on whether you are on a monthly or an annual plan. Both windows apply to your first purchase only, and each customer is limited to one refund in total. We encourage you to use the free tier to evaluate the product thoroughly first; a refund is a safety net, not a substitute for that.

A monthly refund is accidental-purchase protection. If you are purchasing a Clearbase monthly plan for the first time and have used less than 2 minutes of total live session time, you may request a full refund within 24 hours of purchase.
"Live session time" means time spent with an active paid session running, for example Whispr assisting during a real call or interview. Opening the app and looking around does not count against this. Your Plan & billing area shows how much session time has been recorded and whether you are still inside the 24-hour window. Once you have used 2 minutes or more of session time, or once 24 hours have passed, a monthly charge is final.
An annual plan is a larger commitment, so it comes with a real escape hatch. If you are purchasing an annual plan for the first time, you may request a refund within 7 days of purchase. The refund is partial: we return the value of the months you have not used, and keep the first month at the standard monthly rate for that plan.
In other words, if you take an annual refund, you pay exactly what one month of the same plan would have cost, and the rest is returned. This keeps the annual option genuinely low-risk while making sure a yearly sign-up is never a way to get a month of the Service for free. Renewals of an annual plan are not eligible; this applies to your first annual purchase only.
You can change plans from your Plan & billing area at any time. Upgrades take effect immediately, and your card is charged the prorated difference for the remainder of your current billing period. The estimated amount is shown before you confirm; the final amount is set by our payment processor.
Downgrades and switches between monthly and annual billing take effect at the end of your current billing period. You keep your current plan and features until then. No credit or refund is issued for the remainder of the downgraded period, matching common industry practice.
Changing plans does not restart or extend the refund window, which is always tied to your first purchase on the account. If you upgrade within the refund window and then request a refund, the refund covers what you actually paid (the original charge plus any prorated upgrade charge), subject to the same eligibility conditions.
Refunds are limited to one per customer, across both monthly and annual plans. If you have already received a refund, later purchases are not eligible, regardless of which account or plan they were made on. This limit is enforced by identity, using your email and payment method.
Within the applicable window, use the refund request link in your account's Plan & billing area, or email [email protected] from the address on your account with the reason for your request. We will review and respond promptly. Approved refunds are returned to your original payment method; processing time depends on your bank or card issuer.
Except where required by law, the following are not eligible: purchases outside the applicable 24-hour or 7-day window; monthly purchases where 2 minutes or more of session time has been used; subscription renewals; and purchases by a customer who has already received a refund. We also do not refund for issues caused by factors outside our control, such as your hardware, your network, or third-party platforms.
Nothing in this policy limits any non-waivable consumer rights you may have under the laws of your country or state. If you are a consumer in the EEA or UK, you may have a statutory right of withdrawal for a limited period after purchase. By choosing to start using a digital service during that period with your consent, you may lose that right once the service has been meaningfully used. Our refund windows apply in addition to any rights you already have.
If you believe you were charged in error, contact us and we will review it promptly and correct any genuine mistake.
If you have a concern about a charge, please contact us first. Starting a chargeback without contacting us may result in suspension of your account while the dispute is reviewed.
We may update this policy from time to time and will update the "Last updated" date when we do. Material changes will not apply retroactively to purchases already made.
