Cancellation & Refund Policy

This policy explains how cancellation, auto-renewal, and refunds work for paid Clearbase Software ("Clearbase") Services. It forms part of our Terms of Service.

In short. We offer a 7-day full refund for first-time purchases that have not been meaningfully used. After that window, charges are final. You can cancel anytime and keep access through the end of your paid period.
Note. Paid plans are not yet available. This policy will apply once they launch.

1. How cancellation works

You can cancel a subscription at any time from your account's Plan & billing area. When you cancel, auto-renewal is turned off and you keep full access until the end of your current paid billing period. At the end of that period the subscription ends and no further charge is made.

For example, on a monthly plan, if you cancel partway through a month you have already paid for, you keep access until the end of that month, then the subscription ends.

2. Auto-renewal

For your convenience, subscriptions renew automatically at the end of each billing period at the then-current price, unless you cancel before the renewal date. Your renewal or end date, and your auto-renewal status, are always visible in your account's Plan & billing area.

3. Seven-day refund window for new subscribers

If you are purchasing a Clearbase paid plan for the first time and have not meaningfully used the Service, you may request a full refund within 7 days of your initial purchase. This window exists so you can try the product with confidence. We encourage you to use the free tier to evaluate thoroughly before purchasing; the refund window is a safety net, not a substitute for that.

"Meaningfully used" means you have activated a live paid session, for example, running Whispr during a real call or interview. A brief test of the interface on its own does not count. Your Plan & billing area shows whether a paid session has been activated and how many days remain in your refund window.

4. Renewals and subsequent purchases

The 7-day window applies only to your first purchase. Subscription renewals and any purchases made after a refund has already been issued are not eligible. We do not provide prorated refunds for unused time within a billing period.

Why no prorated refunds on renewals. Whispr delivers access continuously, and each day of a subscription draws on real compute from our AI providers and infrastructure that we pay for as it happens. We keep prices lower partly by not building the cost of partial-period refunds into everyone's bill. Cancelling before your next renewal is always available at no cost.

5. One refund per customer

Refunds are limited to one per customer. If you have already received a refund, later purchases are not eligible, regardless of which account they were made on.

6. How to request a refund

Within the 7-day window, use the refund request link in your account's Plan & billing area, or email [email protected] from the address on your account with the reason for your request. We will review and respond promptly. Approved refunds are returned to your original payment method; processing time depends on your bank or card issuer.

7. What is not refundable

Except where required by law, the following are not eligible: purchases outside the 7-day window; subscription renewals; purchases where a paid session has already been activated; and purchases by a customer who has already received a refund. We also do not refund for issues caused by factors outside our control, such as your hardware, your network, or third-party platforms.

8. Your statutory rights

Nothing in this policy limits any non-waivable consumer rights you may have under the laws of your country or state. If you are a consumer in the EEA or UK, you may have a statutory right of withdrawal for a limited period after purchase. By choosing to start using a digital service during that period with your consent, you may lose that right once the service has been meaningfully used. Our 7-day refund window is at least as generous as the statutory cooling-off period in most jurisdictions and applies in addition to any rights you already have.

9. Billing errors

If you believe you were charged in error, contact us and we will review it promptly and correct any genuine mistake.

10. Chargebacks

If you have a concern about a charge, please contact us first. Starting a chargeback without contacting us may result in suspension of your account while the dispute is reviewed.

11. Changes to this policy

We may update this policy from time to time and will update the "Last updated" date when we do. Material changes will not apply retroactively to purchases already made.
